Privacy and confidentiality are part of the working relationship.

Information ncKraft collects

ncKraft may collect information you choose to provide, including:

• Your name, company or organization, email address, and phone number
• Project descriptions, requirements, quantities, tolerances, materials, schedules, and confidentiality preferences
• Drawings, CAD models, photographs, specifications, agreement documents, and other project files exchanged after the initial review
• Communications, estimates, approvals, invoices, production records, and other information created during a business relationship

The website and hosting systems may also process basic technical information such as an IP address, browser type, timestamps, requested pages, and security or diagnostic logs. WordPress may use cookies that are necessary for administration, security, and basic site operation.

How information is collected

Information may be collected through the project-request form, email, telephone calls, meetings, direct communications, and access-controlled project folders. The public project-request form does not accept file uploads.

Please do not submit Social Security numbers, financial-account credentials, medical information, export-controlled information, or other specially regulated data unless ncKraft has expressly agreed in writing to receive and handle it.

How information is used

ncKraft uses information to:

• Respond to inquiries and determine whether a project is a practical fit
• Discuss confidentiality requirements and establish an NDA when requested
• Review project requirements and prepare estimates, proposals, or schedules
• Design, prototype, manufacture, inspect, document, and deliver agreed work
• Communicate about decisions, approvals, changes, billing, and support
• Maintain business, tax, legal, security, and quality records
• Protect ncKraft, its clients, and its systems from fraud, misuse, or security threats

Project files and SharePoint

After contact is established, ncKraft may create an access-controlled Microsoft SharePoint folder for project-file exchange. Access is intended to be limited to ncKraft and the client representatives authorized for that project. Clients should not forward folder invitations or sharing links to unauthorized people and should promptly report suspected unauthorized access.

Microsoft hosts and processes information stored in Microsoft 365 and SharePoint as a service provider. Its systems, terms, and privacy practices therefore also apply to information stored there. A SharePoint folder does not replace an NDA when a separate confidentiality agreement is needed.

Confidentiality and disclosure

ncKraft does not disclose client project information to other clients, outside fabricators, subcontractors, or prospective partners without the client’s knowledge and authorization, except as described below.

Information may be processed or disclosed only when reasonably necessary:

• To website hosting, email, Microsoft 365/SharePoint, backup, accounting, payment, shipping, or other providers used to operate the business
• To professional advisers such as an attorney, accountant, insurer, or information-security specialist who has an appropriate duty of confidentiality
• To comply with law, legal process, a valid government request, or applicable reporting obligations
• To investigate fraud, enforce an agreement, collect amounts owed, or protect the rights, property, or safety of ncKraft, a client, or another person
• As otherwise directed or authorized by the client

Service providers may process information only to the extent needed to provide their services, subject to their applicable agreements and privacy terms.

Retention and deletion

ncKraft retains inquiry and project information only as long as reasonably necessary for project evaluation, performance, follow-up, quality records, warranties, dispute resolution, security, tax, insurance, and legal obligations. Different records may require different retention periods.

When information is no longer reasonably needed, ncKraft may delete it or make it non-identifying. Backup copies and records required for legal or legitimate business purposes may remain until their normal retention period ends.

Security

ncKraft uses reasonable administrative and technical safeguards appropriate to a small business, including access controls and established service providers. However, no website, email system, internet transmission, or cloud-storage service can be guaranteed completely secure.

If ncKraft discovers a security incident affecting protected personal information, ncKraft will investigate and provide notice when required by applicable law.

Your choices

You may ask ncKraft to review, correct, or delete personal information you have provided. A request may be limited when information must be retained to complete a project, protect legal rights, satisfy recordkeeping obligations, or maintain system security. You may also choose not to provide optional information, although that may limit ncKraft’s ability to evaluate or perform a project.

Children’s privacy

The website and services are intended for business and project inquiries and are not directed to children under 13. ncKraft does not knowingly collect personal information from children under 13 through the website.

Policy changes

ncKraft may update this policy as its services, technology, or legal obligations change. The current version and its latest revision date will be posted on this page.
